Approx 25-30 hours a week*
Position to be filled immediately.
- Assist in daily office activities and administrative tasks.
- Coordinate scheduling for service appointments and technician dispatch.
- Maintain accurate records and files for customer interactions.
- Handle incoming calls and respond to customer inquiries with professionalism.
- Make outbound calls, follow up calls, and respond to emails.
- Support billing and invoicing processes to ensure timely payments.
- Collaborate with team members to improve office efficiency and workflow.
- Provide exceptional customer service to enhance client satisfaction.
- Keep office clean and organized.
- Attend team training/meetings as needed.
- High school diploma or equivalent; additional education is a plus.
- Proven experience in an administrative or trade office support role.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written.
- Proficiency in Microsoft Office and Docs.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Positive attitude and a team-oriented mindset.
- Experience in the HVAC or service industry is not required, but is a plus.
- Previous Service Titan or similar CRM software experience.
- Previous dispatching/scheduling experience preferred.
- Ability to work alone and multi-task; self motivate.
- Bilingual (Spanish) a plus.
